14 – Preparation of social reports

The challenge

At regular intervals of 6 months – 3 years, the Office for Integration Assistance in Society requests a report on the development of the persons in need of support in order to determine whether the support currently provided still meets the needs of the person with disabilities. Following the report, the services are maintained or adjusted upwards/downwards in accordance with the newly identified needs based on the results of the report and the personal interview with the person with disabilities. Writing these reports and reminding people of the deadlines keeps a large number of staff busy. Starting with the group of employees who provide the content for the reports, through the social workers who write and send the reports, to the secretaries who keep an eye on the deadlines and scan and file the reports, a whole chain of employees is needed here who work hand in hand together.

Possible Solution

An optimal solution would support our employees on several levels:   

  • Collecting the content for the reports   
  • When formulating with the appropriate keywords that are important for the authority   
  • Reminding them of the deadlines for submission 

An AI-based solution would probably be very interesting for this. Ideally, this would extract the information for the report (goals, wishes, needs, etc. of the person in need of support) from the employee documentation (we work with the CGM programs) and summarize it in a preliminary report according to the needs assessment form of the respective federal state (in our case BeiBW). Then remind our employees of this deadline before the submission deadline and present them with the preliminary report. The employees then only have to go through the report once and correct the areas that are still incorrect. This would take the pressure off our employees and reduce the workload quite a bit over the course of the working day. 

Boundary conditions

  • Compatible with German data protection regulations (GDPR) 
  • Works with the needs assessment form of the BTHG (Federal Participation Act) for Baden-Württemberg (BeiBW).

Existing technologies/systems to integrate the solution 

  • Is compatible with CGM (P&D, TopSoz) or Excel files can be imported.
